How to Configure Email in Outlook 2016

Step #1 Adding or Modifying an Email Account

A. To start setting up a new email account, go to the “File” tab and select “Add Account.” Outlook 2016 file menu Outlook 2016 change account settings
B. If you need to adjust the settings on an account that’s already set up in Outlook, choose “Account Settings,” then click “Change settings for this account or set up more connections.”

Be cautious when changing an account’s connection type or removing an email account. Deleting an account from Outlook will remove all emails associated with it on that device. For POP accounts, unless set to keep mail on the server, deleted emails may be permanently lost. For help, contact HOSTPIDO support.

Note: It’s not possible to convert an existing account from POP3 to IMAP (or vice versa) directly. Instead, add a new account with the desired type following the instructions above.

Step #2: Manual Setup for a New Email Account

A. Choose “Manual setup or additional server types.”
B. Click “Next.”

Step #3: Choose the Email Account Type

A. Select “POP or IMAP.”

Step #5: General Account Settings

  • Your Name: Enter the name you’d like displayed in outgoing emails.

  • Email Address: Input your full email address.

  • Account Type: Choose either POP3 or IMAP based on preference. IMAP is recommended for synchronizing emails across devices.

    Incoming Mail Server:

    • For standard (non-SSL) settings, use mail.yourdomainname.com.
    • For secure (SSL) settings, use the server’s hostname (e.g., host.yourdomainname.com).

    Outgoing Mail Server (SMTP):

    • For non-SSL, use mail.yourdomainname.com.
    • For SSL, use host.yourdomainname.com.

  • User Name: Use your full email address.

  • Password: Enter the password for your email account.

  • Secure Password Authentication (SPA): This should not be checked, as SPA is different from SMTP authentication used on cPanel servers.

Step #6: Configure Outgoing Server Settings

A. Click on “More Settings,” go to the “Outgoing Server” tab, and check “My outgoing server (SMTP) requires authentication.”

Enable “Use the same settings as my incoming mail server.” The option “Log on to incoming mail server before sending mail” (only applicable to POP3) should be left unchecked.

Navigate to the “Advanced” tab next.

Step #7: Set Up Ports and Encryption

  1. Fill out the “Advanced” settings as described below.

  2. Click “OK” to go back to the previous screen.

Standard (Non-SSL) IMAP Settings

  • Incoming (IMAP): Port 143, with “None” selected for encryption.
  • Outgoing (SMTP): Port 25 or 587 if needed, with “None” for encryption.

Standard (Non-SSL) POP3 Settings

  • Incoming (POP3): Port 110, with SSL disabled.
  • Outgoing (SMTP): Port 25 or 587 if necessary, with “None” for encryption.

Secure (SSL) IMAP Settings

  • Incoming (IMAP): Port 993, using SSL encryption.
  • Outgoing (SMTP): Port 465, also with SSL encryption.

Secure (SSL) POP3 Settings

  • Incoming (POP3): Port 995, with SSL enabled.
  • Outgoing (SMTP): Port 465, using SSL encryption.

After configuring, click “Next” to test your settings. If your server uses a self-signed SSL certificate, you may receive a warning—select “Yes” to continue. You may also view and install the certificate to avoid future warnings.

Note: Self-signed certificates offer the same encryption as third-party certificates. However, if you prefer, you can install a verified SSL for core services through cPanel. HOSTPIDO support can assist with setup if needed.

Bonus Tip for IMAP Users: Choose Folders to Display in Outlook

When connected via IMAP, you can select specific folders to display. Right-click on the Inbox (or email address for some versions) and select “IMAP Folders.” Use “Query” to load the list of folders, then “Subscribe” or “Unsubscribe” as needed. Avoid subscribing to spam/junk folders to conserve data usage if you’re on a metered connection.
